Xero integration for repair shops

Connect Xero to WrenchPilot so customers, invoices, and payments push one-way into your books — while jobs, time, and parts stay on the repair order where the work happened.

Built for diesel, truck, and auto shops that already run accounting in Xero and need shop software that does not force Friday CSV exports.

What syncs to Xero

  • Customers → contacts

    Shop customers push as Xero contacts so invoices land against the right party.

  • Invoices from the RO

    Labor and parts on the repair order become Xero invoice lines — not a blank form you fill twice.

  • Payments

    Payments recorded in WrenchPilot (including Stripe/Square collections) can sync into Xero against the invoice.

One-way by design

Sync direction is WrenchPilot → Xero. We do not pull Xero edits back onto open jobs. That keeps the bay and the books from fighting over which system "won" after a late parts add or a writer correction.

  • Repair order = operational truth (hours, parts, customer charge)
  • Xero = accounting truth (ledger, taxes, bookkeeper workflow)
  • Connect QuickBooks Online or Xero — typically one accounting stack per shop

How to connect

    Open Integrations

    Shop admin → Settings → Integrations.

  2. 2

    Authorize Xero

    Click Connect on Xero and complete OAuth for your organization. No pasted secrets.

  3. 3

    Enable sync

    Turn sync on. If payment sync needs a bank account, add or map one in Xero when prompted.

  4. 4

    Invoice from the bay

    Run jobs as usual. When invoices and payments are ready, they push into Xero.
