Privacy Policy
This Privacy Policy is a legal document that governs our collection, use, and disclosure of your information. WrenchPilot Technologies Inc. ("WrenchPilot," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website, request a demo, or use our shop management software and related services (the "Service"). Please read this policy carefully.

Our Terms of Service (including Sections 14–15 on mobile location tracking and in-app payments) govern your use of the Service. This Privacy Policy describes how we collect, use, and share information.
Information We Collect
We collect information you provide directly (such as name, email, phone, company name, and payment details when you sign up or request a demo), information we obtain automatically when you use our Service (such as IP address, device and browser information, and usage data), and information from cookies and similar technologies used for security, analytics, and preferences.
When you or your shop use the Service, we also process business data you input—including job records, technician time, customer and vehicle information, and invoicing data—in accordance with our Terms of Service and this Privacy Policy.
If you use the WrenchPilot mobile application, we may also collect precise location data while you are clocked in, device identifiers, and payment transaction metadata as described in the sections below.
Mobile Application and Location Data
WrenchPilot offers a mobile application (the "Mobile App") that technicians and shop staff may use to clock in and out, manage jobs, capture photos, and accept payments. When an App User clocks in for a shift, the Mobile App may collect that person's precise geolocation (GPS) and share it, in near real time, with their shop so authorized shop staff (such as owners, admins, and service writers) can view live location and location history for the duration of the shift. Location collection is tied to shift status: it is intended to begin when the App User clocks in and stop when they clock out.
If the App User grants the operating system permission for "Always" or background location, the Mobile App may continue to collect and transmit location while the app is in the background or the device is locked. The Mobile App displays an ongoing notification and/or status indicator while background location is active. If background permission is not granted, location is collected only while the Mobile App is open and in the foreground. App Users may change or revoke location permissions at any time in their device settings; doing so may limit timekeeping, dispatch, or other Service functionality.
Location and shift data are used to provide the Service, including timekeeping and payroll support, job and arrival verification, dispatch and routing, coordination, safety, dispute resolution, and security. Location data is stored as part of your shop's business data and is accessible to your shop's authorized users in accordance with your account settings and our Terms of Service.
Shops that enable the Mobile App's location features are responsible for providing legally required notices to, and obtaining legally required consents from, their technicians and other App Users regarding the collection and use of location data. Individual App Users who do not consent should not clock in using the Mobile App and should contact their employer.
Device Information
When an App User signs in on a mobile device, we may collect and store a device identifier, platform type (such as iOS or Android), an optional device label, and timestamps of last use. This information helps enforce which device shares location while clocked in, including optional "pinned device" settings where location is shared only from a designated device.
Device information is associated with the App User's technician profile and shop account and is used to provide shift tracking, security, and support for the Mobile App.
In-App Card Payments
The Mobile App may allow your shop to accept credit and debit card payments from your customers using our third-party payment processor, Stripe, Inc. ("Stripe"). Payment card information is collected and processed by Stripe in accordance with Stripe's privacy policy and applicable payment card industry standards. WrenchPilot does not store full payment card numbers on our servers.
We receive transaction metadata (such as amount, date, payment status, and a payment identifier) needed to operate invoicing, reporting, and QuickBooks sync features. Funds from card payments are routed to your shop's Stripe connected account; your shop is the merchant of record for those transactions.
How We Use Your Information
We use the information we collect to provide, operate, and improve the Service; to communicate with you about your account, demos, and product updates; to send marketing communications (where you have consented or where permitted by law); to prevent fraud and abuse; to comply with legal obligations; and to analyze and improve our products and user experience.
We do not sell your personal information. We may share information with service providers who assist us in operating the Service (e.g., hosting, payment processing, email delivery), and we require them to protect your information and use it only for the purposes we specify.
Security and Data Retention
We implement reasonable technical and organizational measures to protect your personal and business data against unauthorized access, loss, or alteration. Data is stored on secure, modern infrastructure and access is limited to those who need it to provide or improve the Service.
We retain your information for as long as your account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. You may request access to, correction of, or deletion of your personal data by contacting us at service@wrenchpilot.io.
Your Rights and Choices
Depending on your location, you may have the right to access, correct, delete, or port your personal data; to object to or restrict certain processing; and to withdraw consent where processing is based on consent. You may also opt out of marketing emails at any time via the unsubscribe link in our emails or by contacting us.

Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the "Last updated" date.
