Why do per-user fees matter to a truck shop?
When each login costs money, owners often keep technicians off the system and track time by hand. That defeats the reason for buying software. Price the roster you actually want: service writers, parts staff, and every technician who should clock onto a repair.
Is a flat price always cheaper?
No. A solo mechanic pays less on a one-user plan, and Wrenchpod's per-seat plan is less than WrenchPilot Lite at $79 versus $100. Fullbay also lists $25 timesheet users, which narrows the gap for shops with few office users. Compare the full roster, not the headline number.
What else should we add to the real cost?
- Add-ons, such as phone systems and text message charges. The WrenchPilot phone system is optional and separate from the plan.
- Payment processing, which is charged by your payment provider.
- Moving invoice history from your old system.
- Contract length and what happens if you leave early.
How do we compare beyond price?
Run one real repair order through each system, from write-up to invoice to your accounting software. Have a technician clock on and off, then have a manager correct a missed punch. The cheapest plan is expensive if your team will not use it.

What else do shop owners ask?
- What happens above 10 technicians on WrenchPilot Pro?
- Additional users are available. Contact WrenchPilot for pricing, since the published plan includes up to 10 technicians.
- Is there a free trial?
- Check each vendor. Wrenchpod advertises a 30-day trial. WrenchPilot offers a seven-day trial and recommends an onboarding call first.
